Frequently Asked Questions

1. How do I access the collection from the IIA Archives?

If a user wants to view any archive content, they need to submit an access request using the archive access request form along with the folder number. For some records, digitized copies of these records are accessible here when available.

2. How do I submit the request to access archives?

Request for the access to archives can be made in advance through a form and can be submitted through archives@iiap.res.in

3. What are the operating hours for the archives?

The Archives are open from 9.00 am to 5.30 pm. The Archive is closed on public holidays.

4. Can I access the archives remotely or is it an in person service only?

Digital versions of certain records can be accessed here. A user must make an access request using the archive access request form and the fond number in order to view any archived content in case of archives which are not digitized.

5. Can the users continue using library services after the termination of their tenure?

Only faculty members are authorized to use on-site services, and only when the director has renewed their membership.

6. How to search for specific items or collections within the archives?

Use the search function to do a search. Enter the search query in the box provided. You'll be presented with alternatives to your search via a drop-down menu. Click on the record to navigate to it if you find the one you're looking for in the drop-down menu. If you cannot find what you are looking for, hit Enter to view all of the search results.



7. What tools and resources are available to aid in the search and retrieval process for archives?

There are instructions for using finding aids (link to finding aids). There is also a browse-by option. Using this option, we can search for descriptions of archival materials. Select Fonds by clicking on Level of Description. You can browse Digital objects. You can select Image, Text, Video, or Audio to narrow your results on the digital items page. You can also browse by Subjects, Places, and People/Organizations.

8. What is the preferred citation format for materials obtained from IIA Archives?

To cite records from the archive, please follow the following format:

[Name of item], [Fond Name],[Fond ID], [Reference Code], [Level Label as applicable], IIA Archives, Bangalore, India.

  • Descriptive name of item: It is the title of the item used.
  • Fond Name: Title of the fond in which the item is found.
  • Fond Id: The unique identity given to the fond
  • Reference Code: The identity given to the item is used to locate the material [ISAD(G) Reference Code].
  • Level Label: It is the level of description (item/fonds).
  • 9. How are archive descriptions arranged?

    Archival documents are organized and structured in a hierarchical fashion. The database descriptions and related finding aids represent different levels of description. From top to bottom, the levels of description are fonds/collections followed by items.

    10. Could the archival material be borrowed?

    No materials may be borrowed. Materials can be used only in the archival reading room. Manuscript materials may be used only in the archival reading room.


    11. Can Images and photographs from the archives be used in publications? How can they be cited?

    Acknowledge the source with the caption: From the collection of IIA Archives, Bangalore.

    12. Can I donate something to the Archives and Collections?

    IIA Archive accepts documents of historical and research value. See the ‘contribute’ page for details.

    13. Can I get images of material held in the Archives and Collections?

    You can get a photocopy of the material by filling the access request form.

    14. I can't visit the archive. Can I get the copies sent to me?

    The copies can be acquired with proper request. Check ‘reprographic services’ or contact archives@iiap.res.in for details.

    15. Can the archives help with research?

    The staff can help to find items of interest and locate other sources of information. But can’t provide answers to specific research or assignment questions.
