Preservation of records related to the institute, created by its separate organizations, staff, faculty, students, and alums, falls under the responsibility of IIA archives.
The Archives will collect the historical or culturally significant records of individuals, families, and organizations. The records should either reflect the history of IIA or support the research and educational needs of the faculty and students. The new acquisitions should enhance the existing collection by either building upon areas of current expertise or filling any identified gaps.
During their tenure at IIA, every employee keeps records. These can take many forms: audio-visual files, e-mail, paper (including letters, scientific journals, books, administrative papers, reports, and lab notes), and photographs. These fall into three categories: institutional, private, or personal records.
In collaboration with the employee, the documents related to them should be examined if they intend to quit or are no longer employed by IIA. Human resources departments may initiate these by asking the worker to contact the Records Officer and Archives Office before departing. The institution will assist the employee's next of kin or designee in going over the records if they are deceased or unable to be present.
Institutional records of historical significance will be automatically indexed and transferred to the Archives. The employee, their next of kin, or their designee owns the personal records. If any such historically significant records exist in personal records, IIA may request the worker or a designated representative to contribute the records to the Archive by means of a Deed of Gift.
The material belongs to the IIA Archive once it has been received. To contribute to the IIA Archive one can fill the donor form and submit to archives@iiap.res.in
