Guidelines - Terms of Use

The documents are solely meant to be used for research and study. Users may use the data for personal, non-commercial purposes. However, they are not permitted to use the data for any kind of profit-making activity, such as selling, disseminating, or charging for access to it, or utilizing it as the foundation for other people's creative works.Most of the data in the Archives is copyright protected, with IIA archive usually being the legitimate owner. Therefore, the institute needs to be persuaded that any copies created comply with the "fair use" copyright requirement for study.
Document reproduction/ Copying records
The archive allows the users to reproduce the archival documents by photocopying the allowed form of documents. It is to be noted that personal copiers or cameras are not allowed inside the archive premise. See Archival Policy (IIA Archival access policy)
Citing Archival Material
The user must include a complete citation to any quotes or paraphrases they use from archival sources in their writing.
To cite records from the archive, please follow the following format: [Name of item], [Fond Name],[Fond ID], [Reference Code], [Level Label as applicable], IIA Archives, Bangalore, India.

    Descriptive name of item: It is the title of the item used.
    Fond Name: Title of the fond in which the item is found.
    Fond Id: The unique identity given to the fond
    Reference Code: The identity given to the item is used to locate the material[ISAD(G) Reference Code].
    Level Label: It is the level of description(item/fonds).

Handling Archival Materials
For the long-term preservation of archival documents, rare books, and other materials, additional care is required. Materials need to be handled carefully and gently.
  • Proper sanitization of hands is required before entering inside the archive.
  • Users are requested to handle every document with ultimate care to minimize physical damage to the document.
  • Using one document at a single time is requested to avoid misplacement of the document and to retain the proper order of documentation.
  • Refrain from disturbing the order of the documents if, in any case of doubt, users are always welcome to check with the archive team for assistance.
  • Once the archival reference is done, kindly inform the archival team before exiting the archive.
  • Please do not hold the item in your hands to read them. Keep items flat on the table, and do not bend paper unnecessarily.
  • To turn the pages of a book, lift from the undamaged regions, generally avoiding the corners.
